General Question - do you guys think that having round tables set up in the room (like a wedding) would be best or would having the long table at the front of the room for panels/moderators for when it's an open discussion and then just having chairs that we can set up however we want? I'm trying to figure out the best way to set up the room (right now we have about 25 people) and I am atrocious at plotting out space like that. LOL
Any suggestions?

I'm not sure, depends on the spacing and how many end up signing up. One way to set up now with the 25 may now work if you get 10 or 20 more.
But if it stays at the 25 I mean there could be tables set up in a square or circle, so everyone can like see each other and there are no craning necks for those in front rows trying to see who is asking what question. I've done this before, kinda. Not like this big or whatever, but having a moderator sitting at the right, or left, of the authors or whoever is in the spotlight, this seating allows people to be seen equally or I had set it up that notes could be passed around the table to the moderator (questions and what not) so that moderators could ask/respond or plan for certain questions, group them together, before the questions get to the spotlight victim. Questions can be asked by the asker but this way the moderators can call on them directly without everyone trying to compete to have their questions asked, which I have seen in free for all's as well.
If you get more than the circle conference type of seating will allow then maybe the long table for panels/moderators and the smaller rounds for other people. This would make it easier for some of the group discussion panels you have been planning.
But yeah, kinda hard without knowing the shape and size of the room and the exact total of people attending.

Hey guys,
Obviously room size is the biggest issue here. If we have the space, I suggest we set up one side of the room for the formal panel discussion, raised table for the panel members (authors) and seats that we can set up facing them so as to have a back and forth, etc. Again, space willing, we should have the hotel set up round tables on the other side of the room for smaller group discussions and for a place to just hang out and chat when the schedule allows. With approximately 25-30 attending right now, I imagine the room should be large enough to accommodate both set-ups. That would be four or five round tables and then a field of approx 30 chairs set up facing a larger, hopefully elevated, panel table.
That would be my suggestion.
